We have an immediate opportunity for an Executive Assistant (EA) to our company’s CEO, working on-site in our Manhattan office. The EA provides executive, administrative, & developmental support while serving as the primary point of contact for internal & external parties for all matters pertaining to, requesting, or requiring time from the CEO. The ideal candidate will be adept in handling a wide range of support tasks, well organized, scrupulous with time management looking to play a meaningful role in a fast growing company.

In this role you will:

·       Own daily administrative duties & tasks including managing an active calendar of appointments, owning schedules, composing & preparing correspondence; arranging complex / detailed travel plans, itineraries or agendas covering both personal & professional responsibilities of the CEO, compiling documents for meetings, performing occasional research, composing / preparing potentially sensitive &/or confidential correspondences; selecting / booking restaurants for lunch or dinner appointments

·       Help maximize the CEO’s time & priorities, ensuring schedule is followed & respected

·       Communicate directly with stakeholders both internal & external on behalf of the CEO

·       Organize meetings & events, coordinate & manage logistics, providing support as required

·       Receive, field & prioritize requests for meetings, items requiring CEO review/approval

·       Managing projects & information flow in a timely & accurate manner

·       Develop & maintain an efficient filing system including classified & confidential files.

·       Anticipating the administrative of the CEO

·       Resolve internal or external-facing issues with professionalism & patience

·       Stay current on company happenings & priorities, keep a finger on the pulse of the company

You bring:

·       Organization skills, a meticulous attention to detail & a history of taking ownership of multiple projects, duties, & assignments – with a commitment to excellence in all areas of the role

·       Proactive; following up on open items, anticipating issues, closing loops on pending requests

·       Composure, good judgment, able to find solutions independently

·       Critical thinker able to anticipate needs, pivot quickly & proactively address challenges

·       Curiosity in learning new processes, tools, & technologies

·       Proficient in Microsoft Suite (Word, Excel, PowerPoint) & video conferencing (Microsoft Teams, Zoom).

·       Experience with project management apps & org chart software (i.e. Monday.com or Lucid Chart) a+

·       Work well under pressure & meets tight deadlines

The Experience you need to excel in the role:

·       5+ years as an EA dedicated to the C-level, preferably CEO

·       Managing administrative projects in support of the CEO, driving projects to completion

·       Assembling materials &/or decks by partnering with CEO / Executive team

·       Provides a bridge for smooth communication between the CEO's office & internal departments, demonstrating leadership, trust & support among senior management staff.

·       Coordinating, scheduling & facilitation of senior management team meetings & off-sites, to include agenda creation, attending when necessary

·       Handling highly confidential &/or sensitive matters with discretion

Salary is commensurate with qualifications & experience ranging between $85,000 - $105,000
